What is school ERP software?
School ERP (Enterprise Resource Planning) software is a single system that runs a school's academic, administrative and financial work together, instead of keeping each department on its own register, spreadsheet or standalone tool.
The defining characteristic is shared data. When a student is admitted once, that record drives the fee ledger, the attendance register, the exam mark sheet, the transport route and the parent app — with no duplicate entry and no reconciliation at month end. That is what separates an ERP from a collection of individual tools that happen to be sold together.
In practice, the difference shows up in the questions your office can answer quickly: how much fee is outstanding by class, which students are below the attendance threshold before the board cut-off, and which staff salary components changed this month — without anyone compiling a sheet by hand.
Quick comparison
ERP vs. separate tools
| Student data | Entered once, reused everywhere |
|---|---|
| Fee reconciliation | Continuous, not a month-end exercise |
| Reporting | One source, so numbers agree across departments |
| Parent communication | Driven by live records, not manual lists |
| Access control | Role-based across every module at once |
19 modules on one shared record
Start with the modules you need today and switch others on later. Because they share the same student, staff and fee records, adding one does not mean another migration.

Timetable Management System detailsConfigured for how Indian boards actually work
Grading rules, promotion criteria and report-card formats differ by board. These are configuration choices in NLET School, not code changes, so a school moving between patterns does not need a rebuild.
CBSE
Scholastic and co-scholastic areas, term-wise assessment structures and CBSE-pattern report cards.
ICSE / ISC
Subject-group handling, internal assessment weighting and ICSE-pattern mark sheets.
State boards
State-specific grading scales, promotion rules and regional-language report card fields.
Multi-branch
Separate academic calendars, fee heads and staff records per branch, with consolidated group reporting.
How school ERP pricing works
Most Indian school ERP vendors, NLET included, price on a combination of three things rather than a single flat licence fee:
- Enrolment. The number of active students is the primary driver, because it determines record volume, storage and support load.
- Modules enabled. A school running admissions, fees and attendance pays less than one also running transport, hostel, payroll and library.
- Deployment and setup. Cloud is the standard option. Data migration from existing registers, on-site training and any custom report formats are scoped separately.
Because those three vary widely, a published per-school figure would be misleading. We quote against your actual enrolment and module list, and the quote states what is included in year one versus what recurs annually.
Before you compare quotes
Ask every vendor these five
| 1 | Is data migration from our current records included, or billed separately? |
|---|---|
| 2 | What does year two cost, once onboarding is done? |
| 3 | Are the parent and teacher mobile apps included or add-ons? |
| 4 | Who owns the data, and how do we export it if we leave? |
| 5 | Is support priced per ticket, per year, or bundled? |
What rolling out an ERP actually involves
Most schools go live mid-session without disrupting a running term. The sequence below is the one we follow; the time each stage takes depends mainly on how much historical data you want migrated.
- Discovery — we map how your school currently handles admissions, fees and attendance
- Configuration — board pattern, fee heads, class structure and academic calendar
- Data migration — student, staff and outstanding-fee records from your existing registers
- Training — separate sessions for office staff, teachers and administrators
- Parallel run — the ERP and your existing process run together for one cycle
- Go live — full switchover, with support through the first fee cycle and first exam

School ERP software questions
-
In everyday Indian usage the two terms are used interchangeably, and most vendors sell the same product under both names. Where a distinction is drawn, "ERP" emphasises the finance, payroll and resource side, while "management system" emphasises academics and daily administration. NLET School covers both in one platform.
-
The configuration itself is quick; the variable is data migration. A school moving across with current-session student, staff and outstanding-fee records typically goes live faster than one migrating several years of history. We run the ERP in parallel with your existing process for one cycle before full switchover.
-
Yes. Most schools start with admissions, fees and attendance, then enable examinations, transport, payroll or hostel later. Because every module reads the same student and staff records, adding one later does not require a second migration.
-
Yes. NLET School provides Android and iOS apps for parents, teachers and administrators, covering attendance marking, fee status, notifications and messaging. The web application remains available for the office work that is easier on a full screen.
-
Access is role-based. A class teacher, an accounts clerk and a principal each see only the records their role requires, and permissions are set per module rather than granted wholesale.
-
Your records remain yours and can be exported. This is worth confirming in writing with any vendor you evaluate, alongside where the data is hosted and how backups are handled.
-
Yes. Each branch can run its own academic calendar, fee heads and staff records while group-level reporting consolidates across branches.
